CONSULTING, IMPLEMENTATION AND ONGOING SUPPORT

Business systems that make the day easier to manage.

When customer requests, estimates and schedules are scattered, keeping track becomes another job for the owner.

Cedarhelm helps you organize the work and build the systems to support it. We start with your current tools and agree on a project that fits your priorities and budget.

Clear the busywork. Keep the freedom.

CUSTOMER INTAKE AND CRM

Know who needs a response and what happens next.

Keep customer requests, contact details and follow-up organized, with someone responsible for the next step.

What intake and follow-up work can include

Customer requests come in through emails, forms and phone calls. We set up a process to collect them, assign responsibility and track follow-up.

A customer relationship management system, or CRM, can keep the contact details, conversation history and next action together. We can set one up or improve the way you use the one you have.

The work can include intake forms, CRM cleanup, lead stages, task assignment, reminders and follow-up templates.

A place for every inquiry.

Customer details, conversation history and the next step, together.

ESTIMATES AND INVOICING

Get estimates out with less back-and-forth.

Organize the steps from a customer request to an estimate, an approved job and an invoice.

What estimate and invoicing work can include

We help you collect the job details, prepare documents from your templates and track which estimates need follow-up. You review the price and proposed work before an estimate or proposal is sent.

When a customer accepts, the approved details can carry through to work orders, scheduling and invoicing, where your tools support it.

The work can include quote and proposal templates, document preparation, approval steps, work orders, estimate tracking, invoicing workflows and payment reminders.

SCHEDULING AND TEAM PROCESSES

Give your team the information to do the job.

Keep schedules, job details and instructions easy to find, so fewer questions have to come back to you.

What scheduling and process work can include

We work with the people doing the task to organize the schedule, clarify who is responsible and document the steps. The process should be clear enough for someone else to follow without relying on your memory.

The work can include scheduling workflows, work orders, checklists, standard operating procedures, appointment reminders and internal updates.

WORKFLOW AUTOMATION AND PRACTICAL AI

Automate routine steps. Review drafts before they go out.

More time for work that needs your judgment.

Connect tools, send approved reminders and prepare drafts, with clear rules for what happens automatically and what needs review.

How automation and AI can help

Automation can create a task when a request arrives or move approved information between tools. AI can help prepare a document or customer response for someone to review.

We build and test the workflow around rules you approve. We include a review step for estimates, proposals and AI-written customer messages. Routine reminders can run automatically within the agreed rules.

Before choosing an AI tool, we discuss the information it would receive, how it handles data and who can access the tool and that information. We also agree on what the tool may do.

The work can include app connections, recurring task automation, draft documents and responses, alerts when something needs attention, and workflow checks.

CUSTOMER CARE AND REVIEWS

Stay in touch after the job is finished.

Keep track of customer check-ins, review requests and renewal reminders.

What customer care work can include

We help you decide when to check in, what to send and who will handle replies, so you can follow up without relying on memory.

The work can include service check-ins, feedback collection, review requests, renewal reminders and customer retention workflows.

A simple way to keep in touch.

WEBSITES AND SEARCH VISIBILITY

Make your business easier to understand and find.

Improve your website and business information so customers can find you, understand what you offer and get in touch.

What website and search work can include

We improve service pages, navigation, inquiry forms and the information people need when deciding whether to contact your business.

For Google search and AI search visibility, we focus on clear, useful content, consistent business details and technical checks that help search services access your pages. The work can include page titles and descriptions, internal links, local business listings and checks for crawling or indexing problems.

Search engines and AI services decide what they display. We do not guarantee specific rankings, mentions or lead volumes.

ONGOING SUPPORT

Keep your systems working as the business changes.

We provide scheduled checks and agreed adjustments for the systems covered by your support plan. New projects are scoped separately.

What ongoing support can include

Software changes, people take on new responsibilities and a process may need adjusting. An optional monthly support plan can cover agreed maintenance, troubleshooting, documentation updates and small changes.

Your agreement identifies the systems covered, the work included, response expectations and how requests are handled. Substantial repairs, larger changes and new builds need a separate scope.

Support for the systems your business uses.

Know what we’re building before the work begins.

We start with a conversation about what needs to improve. Some projects are straightforward to scope. More involved work may need a separate discovery stage, with its own scope and price agreed before it starts.

Your written proposal explains what we will deliver, the price, relevant software costs, expected steps and what we need from your team. It also covers how we’ll test the result, what documentation and training are included, and how the work will be handed over.

Where practical, we set up systems in accounts your business controls. We explain any exceptions and any software or licensing dependencies before you commit.

Examples of the work we can help with.

Illustrative examples, not client case studies. Each project has its own agreed scope.

Home service businesses

Keep the customer’s details connected as a request becomes an estimate, an approved job and a work order. Give the office and the people doing the work the information they need.

Health and wellness businesses

Organize booking requests, appointment changes and routine client messages. We focus on nonclinical administration and review data requirements before choosing tools or sharing sensitive information between them.

Home-based service businesses

Keep client requests, proposals and invoices organized when you’re managing the business on your own. Use templates and reminders to spend less time on paperwork and keep track of who needs a reply.

A nonprofit or ministry

Keep participant requests, volunteer follow-up and program details organized. Make it clear who is responsible for responding and following through.

Questions about getting started.

We already have enough leads. Can you help us manage the customers we have?

Yes. We can focus on estimates, scheduling, work orders, customer communication and invoicing. You do not need to buy marketing or search services to get help with operations.

I work on my own. Is this still useful?

It can be. A better process can help you track requests, reuse information and follow up without keeping everything in your head. We’ll look at whether the likely benefit makes sense for the time and cost involved.

Do you build the solution as well as recommend it?

Yes. Your proposal explains what we will build, what we need from you and how we’ll test the result and hand it over.

What takes more time than it should?

Tell me how you handle it today and what you would like to change. We’ll talk about a practical place to start.
